If you apply for a job here, we will collect and confidentially hold any personal information you provide us as part of the recruitment process. It will only be shared with those involved in our recruitment and employment processes, or as otherwise required by law.

Providing your personal information is voluntary. If you choose not to provide us with information that we require, we may not consider you for employment.
If you are successful in obtaining employment with us, the information will then be stored on your Human Resources file. If you are not employed the personal information collected during recruitment will be securely disposed of.

You can request access to your personal information held by us and request corrections to this information at any time. Requests for access and correction about recruitment information should be made to vacancies@privacy.org.nz.

Official Information Act 1982 requests

If you make a request for information under the Official Information Act 1982 (OIA), we will collect any personal information you voluntarily provide us as part of your request. We may also generate personal information about you, such as correspondence, when handling your OIA request.

We will use your personal information to respond to your request and will not share it with anyone outside our Office, unless responding to a request you have made on FYI.org or as required by law.

Complaints about us

If you make a complaint to us about our Office, we may collect personal information from you, including:

  • your name
  • your contact details, including your address, email address, or phone number
  • the content of your complaint, including information about the impact on you (which may be sensitive)
  • any documents or other information you provide to us as part of the complaint handling process
  • correspondence from you about your complaint (we don't record phone calls, but we may keep a summary of our conversations with you).

We may also generate personal information about you when handling your complaint, including correspondence, records of actions or decisions taken, and legal views or opinions.

You don’t need to provide us with your personal information. However, if you don’t provide us with your name, contact details, and details of your complaint, we won’t be able to effectively manage your complaint.

We may use your personal information to:

  • contact you about your complaint
  • assess your complaint
  • decide whether your complaint requires a formal review
  • review or resolve your complaint
  • review and improve the delivery of our services
  • conduct internal statistical analysis and meet our reporting requirements.

The details of your complaint will be kept confidential, with the complaint considered in private and information only discussed internally as necessary to properly handle the matter. On occasion, we may need to consult or engage external legal advisors in confidence.

If you make a complaint about our services to the Office of the Ombudsman, we may collect information from the Ombudsman, or share information with them, to respond to their inquiries or investigation of your complaint.
